The Backup Setup Every Home User Needs (Before It's Too Late)
Hard drives don't send a warning email before they fail. One day the machine boots up fine, and the next it just doesn't, and whatever was only stored on that one drive is gone. We've had a customer bring in a laptop with the only copy of ten years of family photos on it, and the drive would not spin up. Most people know they should back things up. Almost nobody actually gets around to setting up a real system until after it's too late.
Here's a straightforward home backup setup, built around an idea IT people call the "3-2-1" rule: at least 2 copies of your data beyond the original, on 2 different types of storage, with 1 copy kept offsite. That last part matters more than people think. If your only backup drive sits next to your computer and the house floods, catches fire, or gets broken into, your "backup" goes down with the original.
1. Start with an external drive
The cheapest, simplest first step is an external hard drive plugged into your computer. Set it to back up automatically (more on that below), and you've already got a second copy on different hardware. This protects you from the single most common failure: the internal drive in your computer just wearing out or dying.
2. Add a cloud backup service for the offsite copy
An external drive alone doesn't satisfy the "1 offsite" part of the rule. If it's sitting on your desk, it's exposed to the same fire, flood, or theft as your computer. A cloud backup service (there are several reputable ones aimed at home users) quietly uploads your files to a data center somewhere else entirely. Pair it with your external drive and you've got a real 3-2-1 setup: original, external drive, and cloud copy.
3. Consider a home NAS if you've got more data or more computers
If you've got a family with multiple laptops, a big photo or video library, or you just want one central place everything backs up to, a NAS (network attached storage box) is worth the investment. It sits on your home network, backs up every device automatically, and gives you a lot more storage than a single external drive. You'll still want a cloud service layered on top of it for the offsite copy. A NAS by itself is still just one location.
4. Use your operating system's built-in backup tool as a baseline
Windows and Mac both include a built-in backup tool that will quietly back up your files to an external drive with almost no setup. It's a fine starting point and better than nothing. But on its own, it usually only covers the "local backup" half of the equation. Turn it on, then still add a cloud service for the offsite piece. Don't let the built-in tool be the whole plan.
5. Make it automatic, not a habit you're supposed to remember
Every backup routine that depends on a person remembering to plug in a drive or click a button eventually fails, usually right before it matters most. Set your backup software to run on a schedule (daily is reasonable for most households) and don't touch it again except to check that it's still running. The whole point of a good backup system is that it works without you.
6. Actually test it once in a while
A backup nobody has ever restored from isn't a proven safety net, it's a guess. A couple of times a year, pick a file or folder and actually restore it from your backup to confirm the process works and the data is readable. It takes a few minutes and it's the only way to know for sure that the system you built actually does what you think it does.
